Terms of Service

Welcome to Mosswood Codex. By creating an account, signing in, or otherwise using the service, you agree to these Terms. If you don't agree, please don't use the service.

1. The service

Mosswood Codex is a hosted campaign-management tool for tabletop role-playing games compatible with the Dolmenwood rule set. It provides a shared hex map, calendar, character sheets, session log, whiteboard, and related tools so a Game Master (GM) and their players can run a campaign together.

The service is currently in invite-only beta. Accounts are created by redeeming a signup invite code or a campaign-join link. There is no SLA — features and uptime are best-effort, and the host may take the service offline for maintenance with little or no notice.

If the hosted service stops working for your group, the same code is available for one-click self-host via the open-source template. Your data export (Section 8) is portable.

2. Your account

To use the service you must be at least 13 years old (or the minimum age of digital consent in your jurisdiction, whichever is higher). You're responsible for keeping your sign-in credentials safe and for activity that occurs under your account.

One account per person. Sharing an account with others, or creating multiple accounts to evade a suspension, is grounds for termination.

3. Acceptable use

You agree not to use the service to:

  • Post or share content that depicts real-world hate, harassment, sexual exploitation of minors, or material that's illegal where you live or where the service is hosted.
  • Impersonate another person or misrepresent your affiliation with anyone.
  • Probe, scan, or attempt to bypass the service's security, rate limits, or access controls.
  • Use the service to send unsolicited bulk email, distribute malware, or attack other systems.
  • Reverse-engineer the service for the purpose of building a competing hosted product (you are explicitly allowed to fork the open-source code for your own self-hosting under that project's license).

In-character content describing fictional violence, conflict, or morally complex situations is fine — that's tabletop role-playing. The line is real-world targeting.

4. Campaign content and the Dolmenwood Third-Party Licence

The Mosswood Codex app is an independent product published under the Dolmenwood Third-Party Licence and is not affiliated with or approved by Necrotic Gnome. Dolmenwood® and all related characters and elements are © Necrotic Gnome and used with permission under licence.

When you create campaign content within the service — hex notes, NPCs, sessions, character sheets, custom narrative annotations — you keep the rights to that content. By posting it through the service you grant Mosswood Codex the limited license needed to store it, display it to the campaign members you've granted access to, back it up, and include it in your own export.

If you import content from a Dolmenwood-compatible third-party pack (spell lists, calendar annotations, icon sets, etc.) you're responsible for ensuring you have the right to use it under the source's licence. The hosted service may take down imported content that violates the source licence.

The host reserves the right to take down any campaign — with notice via email — for violation of these Terms or the underlying licence. See Section 7.

5. GM-to-player relationship

Each campaign has at least one GM. The GM has elevated permissions inside their campaign: they can edit any row, archive the campaign, remove members, and download a full campaign export. Players retain authorship of the rows they created (character sheets, dice rolls, whiteboard strokes) and can export them via the per-user data export at /account/export.

If a GM removes you from a campaign, your authored content stays in that campaign's database for the GM's use, but you lose access to view or edit it. Your personal account, characters in other campaigns, and audit history are unaffected. You can request full deletion of your own account at any time via Section 8.

6. The host's right to moderate

The host may, at its discretion and without prior notice:

  • Suspend accounts that violate these Terms.
  • Archive or take down campaigns that violate these Terms or the Dolmenwood Third-Party Licence.
  • Remove individual rows of content (NPCs, notes, whiteboard elements) that violate these Terms.
  • Apply rate limits or feature flags to prevent abuse.

Where reasonable, the host will notify the affected GM or user before taking action and provide a path to appeal. In urgent situations (legal request, severe abuse, security incident), action may come first and notice second.

7. Archival and deletion {#archival}

Campaigns that show no activity for 180 consecutive days are flagged as archived. Archived campaigns are hidden from members but their data is retained. After 30 additional days an archived campaign becomes eligible for hard deletion by the host. The GM receives a warning email at archive time and a second warning 21 days into the grace period.

To preserve a campaign indefinitely, sign in and visit any page in the campaign — that resets the activity timer.

8. Your data rights {#data-rights}

You can:

  • Download your data any time via /account/export. The export is a gzipped JSON containing your profile, characters, dice rolls, whiteboard authorship, audit history, and the campaign memberships you hold.
  • Delete your account any time via /account/delete. The request enters a 14-day grace period during which you can rescind it. After 14 days, the host purges your auth record, your profile, your characters (orphaned to the campaigns that hold them so other players' notes still make sense), and scrubs your identifier from the audit log via a one-way hash.

9. No warranty; limitation of liability

The service is provided "as is" without warranty of any kind, express or implied, including merchantability, fitness for a particular purpose, and non-infringement. The host does not warrant that the service will be uninterrupted, error-free, or that data will never be lost. Backups are taken daily but the host is not liable for any data loss.

To the maximum extent permitted by law, the host's total liability arising out of or related to the service is limited to the greater of (a) the amount you paid for the service in the twelve months preceding the claim, or (b) US$10. Since the service is currently free, this generally amounts to US$10.

10. DMCA and copyright

If you believe content on the service infringes your copyright, send a DMCA-compliant notice to support@mosswoodcodex.com. Include identification of the work, the URL of the infringing material, your contact information, and a good-faith statement under penalty of perjury that the use is not authorized.

11. Changes to these Terms

The host may update these Terms from time to time. When changes are material, the host will notify users via email and update the Last updated date at the top of this page. Continued use after a change constitutes acceptance.

12. Termination

You can stop using the service and delete your account at any time. The host can suspend or terminate your account for violation of these Terms. Sections about your retained content rights, the host's licence to your content during the period it was hosted, the limitation of liability, and the DMCA process survive termination.

13. Governing law

These Terms are governed by the laws of the State of California, United States. Any dispute that can't be resolved by writing to support@mosswoodcodex.com goes to the state or federal courts in San Francisco, California.
